How to create a wedding guest list without offending anyone?

What will your wedding be like?
Of course, it is advisable to think through everything down to the smallest detail so that there are no misunderstandings later. But a celebration in honor of a wedding is not only preparing the hall, choosing outfits and finding cars for the newlyweds to walk with, but also compiling a list of those who will come to share the joy of the event with the heroes of the occasion. Making a wedding guest list is a difficult task. Because the couple must know in advance the number of those who will come to congratulate them. It just seems that creating a list of such people is easy. In fact, it depends on many things, and newlyweds should take this into account. If in the old days a wedding was considered a holiday for parents, they paid for almost everything and decided who exactly should be invited, today the traditions have changed. How much to pay and who to invite is the choice of those responsible for the special event. That’s why it’s up to them to decide who exactly should come to the wedding. We discuss in this article:

  • Why do you need a wedding guest list? We are planning a budget.
  • Making a wedding guest list: basic rules.
  • What to do with those who cannot be called.

Wedding place cards - help guests find their seat!

A wedding banquet is an event that requires precise organization. Correct seating of guests and relatives, a clear determination of the place for each of the invitees is one of the most important tasks facing the organizers and hosts of the celebration.

To avoid confusion and unnecessary fuss, place cards are placed on the tables indicating the name of the guest. This will help invitees quickly find their place at the festive table, and the hosts of the holiday will know exactly where their family, friends and relatives are.

Start with the most important guests

The first on your list, of course, will be your parents, siblings, grandparents, bridesmaids and groomsmen. These are the people without whom you cannot imagine your holiday.

The following lines are for not the closest friends, neighbors, colleagues and distant relatives. That way, if you have to trim down the list, you can simply cross off the very last lines until you reach the perfect number.

How to design place cards for a wedding: 15 options

Guest, name or place cards are a kind of business card, thanks to which people with similar interests, close or well known to each other, find themselves at the same table at such an important celebration. When deciding how such cards should look, you need not only to adhere to the general style of design of wedding accessories, but also to do everything to ensure that the signs placed on the tables, standing next to the numbers on the tables, attract the attention of the guests.

There are many types of personalized guest cards that can be purchased ready-made or made by yourself:

Cards with names

The best design option is business cards with the names of invited guests.
They should be small in size, square, triangular or rectangular in shape. If the card itself is made on white paper, then you need to decorate it with a pattern or design that stands out against the general background; you need to highlight the name of the guest in an even brighter color.

Postcards with the names of the guests can have any shape, but they must stand firmly on the table, so most often they are folded in the shape of a house.

You can write a few kind words on the inside of such a card, and then guests will definitely keep them as a memory of the past celebration.

Flowers with signs

Flowers at a wedding are a mandatory attribute; vases with living plants simply placed on tables take up too much space and sometimes interfere with people’s communication.
But a card with the guest’s name, located on a flower or placed inside it, plays an important role in organizing the holiday and decorates the table.

A small decorative flower, which will remain as a keepsake and can be kept by a guest as a house plant, will remind of a beautiful identity for a long time.

It is better to use miniature pots for indoor flowers that guests can take with them.

Boxes with names

Boxes with names will be a pleasant surprise for guests. After all, you can put a small souvenir inside each one .

Sweets or a tiny figurine will be a pleasant reminder and will help surprise your guests.

It’s easy to make such a box with your own hands, and then the personalized cards will be unique.

Origami, paper boats

The guest boarding cards, made in the form of origami, look original. They can be placed on plates, loaded with sweets, made from bright colored paper, decorated with beads or flowers.

Paper boats mounted on a small stand, towering above the table, will not go unnoticed if the sails are decorated with the names of the guests.

A figurine made of colored paper will make the card unusual and attractive.

Pebbles with names

Pebbles with names are not an ordinary card, but a real souvenir. On the reverse side you can write a wish and it will be saved for a long good memory.

Such pebbles will become a real table decoration.

In the shape of butterflies, hearts

Guest cards in the shape of butterflies or hearts are recognized as an indispensable accessory on the wedding table.

A heart is a symbol of love and tenderness, and according to legend, such small souvenirs bring happiness, and guests will certainly keep them.

Fruits with signs and names

Fruits with signs and names will be a good addition to the table setting and will help maintain a festive mood.

The fruits will be eaten, and the card with the name and wish will remain as a keepsake.

Cookies with names

Cookies with names can also be saved as a reminder of the festive evening if desired.

This delicious sweet pointer will help you find your seat at the table.

Candy with a sign

Sweets with a sign are placed on a plate. Each candy is not only a decoration and a treat, but also a stand for a card holder.

Seashells with names

Shells with names will not go unnoticed among the dishes on a festively set table and always remain as a souvenir.

Keys with inscriptions

Keys with inscriptions cannot be lost. A guest card with such a keychain will remain for a long time, reminding you of the past celebration.

Photos of guests on the sign

Place cards with photographs of guests will save wedding guests from having to read through the text to find their first and last name.

The cards of those sitting at the same table can be placed side by side, using the apple as a stand. A candy placed in the center of the plate can also serve as a photo support.

Medals with names

A medal on which the guest’s name is written will not easily remain as a keepsake; it will be a reminder and decoration.

Cocktails with signs

Before the festive banquet begins, guests will be offered drinks, and cocktails with the names of the guests placed on the tables will act as place cards.

Wooden badge with guest name

A small wooden badge with the guest’s name on it will not be a burden and will delight its owner, and later it can be used as a keychain on a bunch of keys, constantly reminding you of the past celebration.

A small tree stump is an excellent stand for a guest card.

On the back of the badge you can leave your wishes to the guests or express your gratitude to them for visiting.

Place cards can have any shape and be made from a wide variety of materials. It's the ones you made with your own hands that will be remembered, so it's worth making the effort to please your guests.

Expand the list

If you have signed up all the necessary guests, but there are still vacancies, proceed to expand the number of invitees.

Think about close friends, distant relatives, young couples whose wedding ceremony you were lucky enough to attend. They often count on reciprocal courtesy.

Please note that at the holiday banquet it may be necessary to plan seating to feed the guest artists.

Also, be sure to provide reserved seating for so-called “plus one” guests. In other words, keep in mind that your colleague or friend will potentially come to the event not alone, but with a significant other. After the invitations have been sent out, be sure to check how many of these attendants you will have at your wedding.

How to make wedding place cards with your own hands: step-by-step instructions

The place card for each guest is intended only for him and is personalized; they are all made in the same style, but may differ in design and color. If you don’t want to use ready-made products, then you can make such an accessory yourself, using available materials (for example, left over after making wedding signs) and without spending a lot of time.

Paper medals with guests' names on them make for simple and attractive place cards. To make them you will need :

First of all, you need to decide whether all medals will have the same shape or whether it will be different for each table. Now you can start preparing the components for the name cards. Based on the number of invitees, the number of elements is determined, taking into account that for each medal you will need at least three paper circles, ovals, and polyhedra.

The best option is that the outer edge of the medal is the same for everyone, and its middle is selected separately for each table. They begin by cutting out strips of at least 5 cm wide from soft, brightly colored corrugated paper. There should be as many stripes as there are cards to be made. Now, from paper of the same quality, but of a different color, an equal number of strips no more than 3 cm wide are cut out.

As shown in the figure, carefully fold the strips so that the circles are first large, then smaller. You can secure the edges with glue. The next step is to combine the centers of large and small circles by overlapping the parts one on top of the other. At this stage you will need glue again. A narrow satin ribbon is attached to the back of the medal with a stapler. A circle, oval, star or any other shape is placed in the middle of the blank, on which the name of the guest is beautifully written.

Another option for making place cards with your own hands is beautiful cards decorated with beads. To do this, it is enough to cut out rectangles of cardboard according to a certain size (chosen at your discretion) in an amount corresponding to the number of invited guests. Carefully fold each piece in half.

On the front side, write the guest's name and decorate the card using whatever the artist finds most suitable. This could be a flower or satin ribbon, beads or small shells glued with a glue gun. Inside the card you should write words of gratitude for the fact that the guests came to the heroes of the occasion on such a festive and memorable day. Leftover pieces of cardboard can be used to make fun signs for guests.

It is original, simple and convenient to use small photographs of guests to make place cards. They can be secured on wooden skewers tied with thin satin ribbons, and strengthened by inserting fruit into the candies.

Remember that the signs placed on the tables must correspond to the seating chart of the guests.

What is it for?

Since during the wedding day a large number of contractors (host, florist, makeup artist, decorators, waiters, etc.) will interact with you and your guests, they (as well as you) must be guided by how many people will be at the banquet how and where they will sit.

Who might need a guest list?

  • Newlyweds . Firstly, it is needed to calculate the budget for the festive banquet, send out invitations and calculate the weight of the wedding cake.
  • Secondly, keep track of the number of guests who will definitely be present at your celebration. Quite often it happens that guests announce at the last moment that they will not be able to come.
  • Thirdly, after compiling the list, you will be able to have an idea which part of the guests will be with you at the registry office or at the exit registration, and which will come directly to the restaurant. Based on this, you can calculate the cost of transport for guests, routes, and also indicate the corresponding addresses in the invitations.
  • Wedding planner (coordinator). If you are having a turnkey wedding, this will not save you from the need to draw up a guest list.
  • Restaurant administration . To correctly calculate the number of dishes, cutlery, tables and chairs, and even waiters serving the banquet. It is important to note in such a list whether any of the guests have preferences for main courses or special requirements for dishes (for example, your guest is Muslim and does not eat pork, or perhaps someone is allergic to certain foods). Also, the list indicates which alcoholic drinks the guest drinks, and if the restaurant has a strict access regime for parking, then indicate the car number (the administration itself will notify the security about which of the guests will be driving a car).
  • To the presenter . During the program, the toastmaster will address your guests and closely interact with them. To avoid awkward situations, he should have such a list in his hands. This can also be a shortened version, for example, with the key participants in the evening - the first and patronymic names of parents, the names of relatives and friends.
  • Decorator . If your decorator prepares personalized seating cards or a seating plan, then you will need to provide him with an up-to-date guest list. If you decide to design the list yourself, we have prepared several recommendations and templates below (go to).
  • Wedding seating cards: 5 templates

The seating card must contain the guest's first name (possibly last name). The chosen form depends on the overall style of the celebration. These can be hearts or butterflies, rectangular cards, or a patterned relief design. The hosts of the holiday make their choice themselves.

The original design of the card will attract the attention of guests; words of wishes or gratitude can be written on its reverse side. Here, next to the guest’s name, the table number can be indicated (template 1).

Name cards are placed on specially prepared stands, for which fruits, sweets, and cakes are used as a support (template 2).

By bending a double-sided card in half (template No. 3), you can place it on the surface of the festive table and write a few kind words addressed to the guest inside.

This design (template 4) allows men and women to understand at first glance which cards they can see their name on.

Delicate openwork contour, small size, original design (template 5). In the middle, write the guest's name and, if necessary, the table number.

Before you start compiling the list

When starting to plan the number of invitation cards, first of all, discuss with your significant other the principle on which to form the list.

Perhaps the groom will completely entrust this task to the shoulders of his future wife. This option is appropriate if the celebration is planned to be small, and the circle of invitees has known each other and the newlyweds for a long time.

Another option: after announcing the main criteria for selecting guests, both partners make a list of those who need to be invited, at their discretion, after which the results are compared. This method will allow you to be more confident not to forget anyone and to settle on the golden mean.

Table arrangement for a wedding celebration

Options for table arrangement at a wedding will help guests avoid crowding around looking for free space. The right scheme will help everyone present to admire the happy newlyweds.

The T-shaped method is intended for a small company, no more than 25 people. In the center sit lovers, on the sides are witnesses, parents, and relatives.

Tables arranged in the shape of the letter U can accommodate about 50 guests.

The W-shaped scheme is relevant for a cheerful company of 60 guests.

European seating is the most popular in recent times. The essence of the idea is to distribute guests at separate tables, counting on common interests.

To better see the newlyweds, the tables should be arranged in a checkerboard pattern. There may be situations when it is more logical to place the table with the newlyweds not in the center, but in front of some tables.

How the newlyweds sit at the table correctly: which side is the bride and groom on?

The tradition of seating the bride and groom at the festive table is very old, so many people forget how to seat the newlyweds correctly, but remember that it is important. There are many erroneous versions, but there is also the only correct one : during the wedding ceremony, wedding and banquet, the girl should be to the left of the young man.

Bride and groom at the banquet table

The groom is to the right of the bride - this is how he shows that he is the protector of the future wife. The newlyweds' table should be located in the center of the banquet hall.

According to tradition, newlyweds should not sit on different chairs. It is better if they sit on a small bench - this will symbolize their unity and the beginning of family life

Witnesses at a wedding should always be positioned so that the bridesmaid is next to her and the groom's friend is with him. At the festive table, witnesses at a wedding sit in exactly the same way, but not vice versa.

The parents of the bride and groom should sit as close to their children as possible. Therefore, parents are often seated near the bride and groom, not witnesses. On the right hand of the bride are her parents, and then relatives and friends on her side. To the left of the groom are his mom and dad, as well as the rest of those invited from his side.

    Wedding seating plan

The card is a stand with the names of the guests, their serial number and a number with a specific table. The layout of the tables in the hall will look great. Cards with the table number and friends' names should be placed on the tables. This method allows you to seat all invitees in their seats in a short time.

To avoid a crowd around the map at one moment, it is advisable to make a copy of it and distribute it around the hall.

A good alternative for quick and fun seating is a special organizer who will manage the list and lead you to the right place.

An alphabetical list is a great idea. Everyone will be able to quickly find themselves and go to their assigned table.

The design can be a small floor plan. Guests, seeing it, can easily figure out where the table with their number is and which chair is intended for them.

    Note to future newlyweds

    How to apply?

When might you need a beautifully designed guest list for your celebration? If you plan to place it at the entrance to the banquet hall, indicate the table numbers on the list. This way, it will be easier for guests to figure out which table they will sit at.

It could be implemented this way:

Before the decorator creates beautiful plans with numbering of tables and cards for guests, the list can be prepared on a simple piece of paper or in a WORD document on the computer.

To distribute guests between tables, you can sketch the hall , indicating the approximate arrangement of the presidium and guest tables (rectangles or circles).

write the first and last names of the guests in each rectangle / circle by hand . Then, such a scheme and the final list are transferred to the designer, host and restaurant administration.

If you independently prepare a list that will be placed at the entrance to the banquet hall, it is important to consider the following subtleties :

    Little tricks to help

The fun and popular game “Take a seat on a chair” should be in the middle of the entertainment program, and not at the beginning of the celebration. Therefore, the newlyweds are obliged to think about where each guest will sit.

It’s impossible to remember who sits where. Therefore, there are some programs that allow you to perform simple tasks. To do this, just download them from the Internet and fill in the empty fields.

The planner will be a great way to quickly distribute everyone’s plantings. It contains 3 elements:

    – a notepad for notes.

First, enter the guest details. Each person is written on a separate line.

The chart automatically switches to a second tab, allowing you to “sort” friends and relatives as you wish.

Who should I make the list with?

A wedding is a common holiday for newlyweds. It is they who must decide with whom they are ready to share this day, and who they do not want to see at their celebration. Therefore, you should not be afraid of being offended or condemned by relatives if their opinion is not taken into account.

The bride and groom should discuss the format of the holiday and think about the concept. Disagreements may arise here: for example, the bride wants to invite as many guests as possible to the celebration, and the groom dreams of a modest holiday. In this case, it is worth listening to each other and finding a compromise.

The ability to listen and hear will be useful for young people not only in the process of organizing a holiday, but also in family life

    Seating tickets for guests

Cards for today's weddings are no longer a novelty. Every newlywed wants to improve them. It is important that they blend gracefully with the wedding theme. Color scheme, style, all this affects the form and content of the element.

Most often they are tied to a glass, placed on napkins, and glued to a chair.

When filling out a card, its readability is important. The font should not be small and have different curls. The guest should not have difficulty reading the text.

Many newlyweds prefer to place small souvenirs on the table along with the cards as a keepsake.

Cards are most often purchased in stores or ordered from wedding agencies. Magical brides prefer to do everything with their own hands. Add a little bit of yourself to each card. Homemade cards look perfect on juicy and ripe fruits. Most often the following are used as tasty gifts:

To prevent painstaking work from taking up all your time and energy, a template will help. With its help, it is possible to complete a sufficient number of cards in a matter of hours.

Even something as small as a card must be made in the same style as the wedding theme.

Master class on making place cards

    Set a budget limit

When the format of the event is clear, recalculate the available amount and determine an approximate list of costs.

The cost will depend on the number of participants:

    • treats and drinks;
    • transport;
    • apartments (if overnight stay is required);
    • bonbonnieres;
    • rental premises.

If you are planning a gala banquet, call the selected restaurant and check the cost per person. The announced figure may include the price of renting the hall, but sometimes you need to pay it additionally.

Perhaps some of the guests plan to attend only the registration. However, until you know for sure, keep the number of people equal throughout the wedding day.

Just fill out the form and your wedding website will be generated automatically! A wedding invitation website is stylish and fashionable!

Make a program for your wedding celebration with a schedule of time and location with an address and a map. Keep your guests informed!

Indicate your wedding planner and his contact details, which will be clickable, and your guests will be able to contact him at any time.

Add a description to your wedding reception and include a wedding hashtag to encourage guests to post photos with your wedding hashtag.

    Why shorten the guest list?

    1. This is one of the best ways to save money on your wedding. After all, as a rule, the most expensive item in the wedding budget is the banquet, and its cost directly depends on the number of guests. Preparation items such as decor and transportation will also cost you more the more guests you invite. And instead of looking for cheaper contractors, it is always better to reduce the number of guests: this way you will maintain a decent quality of wedding services.

    2. The fewer guests you have, the easier it is to organize them. Preparing a large-scale wedding for over 100 people requires many times more effort than a small wedding for 20-30 guests.

    3. The more carefully you approach the preparation of your guest list, the more pleasant the atmosphere at the wedding will be for you. Agree, it’s much better to spend time with really close people, those who are sincerely happy for you, than those who don’t even remember your names and came “just to eat.”

Are you convinced that list optimization is a good thing?)))) Now let's see how to do it correctly and as painlessly as possible for everyone.

It’s very easy to invite to a wedding in 3 steps!

Online wedding invitations to friends and family are always a pleasant process! The online wedding invitation designer will help you with this!

    Choose a wedding invitation

It's easy to customize your wedding invitation template and use the suggested wedding invitation text. You can always return the original wedding invitation template.

Create a website for a wedding

Fill out the form and your wedding website will be generated automatically, where guests can confirm their presence. Your wedding invitation website is stored indefinitely!

    Send an invitation to guests

You can invite guests to the wedding through any messengers, social networks and e-mail. A list of wedding guests is created when they register. Use online seating for guests, distributing them across tables.

Don't invite guests out of guilt

Remember one simple rule - you should invite only those you really want to see to the celebration. You don't need to invite a friend to your wedding just because she invited you to hers last year. If you are simply afraid that the person will be offended by not receiving an invitation, or your parents insist on the presence of someone you don’t even know, learn to say a firm “no.”

By refusing, you are not insulting or offending anyone, and if you are reproached for this, do not fall for manipulation. Repeat to yourself often that this is your day and you want to share it only with your closest and beloved people, and there is no place for strangers on this holiday.

People you can remove from your invite list

    1. • Distant relatives whom you have seen once in your life.
    2. • People with whom you have not seen for a long time and do not maintain regular contact.
    3. • Beloved friends, if you do not know them personally. But married friends should always be invited in pairs.
    4. • Children of guests, if you are planning a party for adults only. It is impossible to invite selectively (for example, allowing a sister to come with her son, but not a friend).
    5. • People your significant other doesn’t know, because this is your common holiday. If you wish, you can, of course, make an exception for childhood friends or work colleagues, but if the guest list needs to be shortened, don’t be afraid to cross them off.
    6. • People who are in conflict with other guests. You should not provoke conflicts at a wedding if it can be avoided.

    How to compose?

You should definitely make a final list together with your significant other . At the same time, anyone can sketch out a draft, and then simply combine the two lists into one.

If for some reason you find someone on the list compiled by your significant other whom you would not like to see at the wedding, then you should delicately explain why you think this guest should not be present (for example, “we only saw each other a couple of times”).

At the same time, it is worth considering counter arguments - why your partner wants to see this guest at the wedding.

Initially, when planning a wedding, you should not tell all your acquaintances, colleagues and friends about the upcoming celebration. This way, you won't feel awkward if you decide not to invite one of them.

    What to start with:

    Who should you invite?

    Necessarily:

    Don't forget to invite:

    Who shouldn't be called?
